What is considered a large party and how do reservations work?

Large parties are typically groups of 11 or more guests for this preorder program. Reservations are required, and wine must be pre-ordered in advance for groups over the large-party thresholds listed on the page. Once you share your event details and submit a credit card authorization form, the team will secure your reservation and send your preorder for review before any charges are applied.

What are the preorder requirements for wine?

For groups of 10 or more, the standard preorder is either 1 bottle per 2 guests or 1 flight per person, chosen and paid in advance, plus an 18% large party set-up fee. This quantity is designed to provide approximately two glasses of wine per guest.

Is there an alternative to preordering wine upfront?

Yes. Instead of committing to specific bottles or flights, you may choose a non-refundable deposit of 200 dollars with a 50 dollar per person beverage guarantee and an 18% booking fee. This option still secures your space and minimum spend commitment for your group.

When is my card charged?

Payment details are required at the time of booking, but the card is not charged until your preorder is finalized. The team will first send your selections for review and will only process payment after you approve the order.

What information do you need to book my large party?

You will be asked to provide: full name, email, phone number, billing address, date and reason for your event, preferred time (within operating hours), party size, and wine selections or per-person guarantee. A completed credit card authorization form is also required to confirm the reservation.

Is my area private?

Preorder bookings are not private or semi-private; The Barn remains open to other guests. Your group will be escorted to a reserved area that may include a mix of picnic tables, cocktail tables, firepit tables, and/or couches, but specific areas and furniture arrangements cannot be guaranteed.

Can I change or cancel my preorder?

Any changes to your preorder or cancellations must be made at least 48 hours before your reservation to receive a refund or adjust the order. There are no refunds, exchanges, or returns on preorders within 48 hours of your reservation or on the day of your event.

Can we order additional beverages onsite?

Yes. You are welcome to order additional beverages during your visit beyond your initial preorder. However, returns or exchanges of preordered beverages are not permitted within 48 hours of your reservation or on the day of the event.

Is food available for my group?

Food is not available for preorder through The Barn menu, but you can purchase food onsite from Novikov BH, with a full menu Friday–Sunday and a limited menu Monday–Thursday. For parties of 20 or more, you may also arrange catering from one of Cielo Farms’ exclusive caterers coordinated through the events team, and outside food is not permitted.

Is gratuity included?

An 18% large party set-up or booking fee applies to qualifying reservations, but there is no automatic gratuity included for servers and support staff. If you would like to tip the team on the day of your event, cash is preferred.

Can I bring a cake or decorations?

You may bring a celebration cake, but you must provide your own plates, utensils, and cooler, and refrigeration is not available and candles are not permitted. Any décor must be fully set up by the client (staff cannot assist), and while balloons are allowed, confetti or confetti-filled balloons are not and will incur a 150 dollar cleaning fee if used.

What happens if the weather is bad?

Woodstock is a fully outdoor experience, so guests should dress comfortably for the weather. Shade, sun, and temperature can all vary throughout the day and seasons.

Is valet or transportation available?

Valet service is required and is typically 20 dollars per car most Fridays–Sundays. For shuttle or group transportation, guests are encouraged to contact Riz Transportation directly at info@riztransportation.com.

Is there an additional fee for very large parties?

Parties of 20 or more guests incur an additional 250 dollar large-party charge. This fee is in addition to any beverage minimums, set-up or booking fees, and other applicable charges.
